2. Website Use and Technical Logs

When the website is accessed, the web server and technical service providers may process technical access data in order to provide the service securely and without errors. This may include, in particular, the IP address, date and time of access, requested page/file, referring address, browser and device information, and technical status/error data.

Processing is carried out to technically provide the website, ensure security, prevent attacks and misuse, and resolve technical issues. Where applicable, the legal basis is the legitimate interest under Article 6(1)(f) GDPR; for processing directly connected with a contract or pre-contractual request, Article 6(1)(b) GDPR applies.

3. Contact by Email and Telephone

When you contact us by email or telephone, your name, contact details, company/organisation information and the message/project information you provide are processed to assess and respond to your request. If the request relates to entering into or performing a contract, Article 6(1)(b) GDPR applies; for other business communications, Article 6(1)(f) GDPR may be the legal basis.

4. Web Forms: F00–F05 and Publication Applications

The general contact, market access, trade fair/event, retail rollout, strategic project and Network & Web Visibility forms request only the information required to assess the relevant enquiry. Depending on the form, this may include name/surname, company, role, email, telephone, country/city, project or product information, target market, selected service/package, budget/timing and free-text details.

Where documents or images need to be shared, the user may provide an accessible sharing link. AUREXIA uses content accessed through the link solely to assess the request and deliver the agreed service.

Optional marketing consent in forms is handled separately. Such communication is carried out only where consent has been given, on the basis of Article 6(1)(a) GDPR, and consent may be withdrawn at any time for the future.

5. AUREXIA Network Company Profiles

Within the Network & Web Visibility service, a company/brand profile is prepared from text, logos, images, product/service information, website and social-media links provided and approved for publication by the customer. If a natural person’s name, role, photo or direct contact details are to be published, the customer is responsible for ensuring that the information has been lawfully provided for publication; AUREXIA may also review publication suitability.

6. Cookies and Local Storage

Necessary cookies or browser local-storage mechanisms may be used to provide essential website functions and user preferences. Non-essential storage of or access to information on the terminal device is, where applicable, subject to prior user consent under Section 25 TDDDG and the GDPR.

Preferences Cookie Settings page. Analytics, marketing or similar non-essential tools should be used only when the relevant preference category has been enabled.

7. External Content and Map Services

The website may use maps or other external media services. Because such content may connect to third-party servers and transmit technical data such as the IP address, non-essential external content should be loaded only after the user has made the relevant choice/given consent. The external provider’s own privacy terms also apply.

8. Data Recipients / Service Providers

Data may be shared, only to the extent necessary, with web-hosting/technical infrastructure providers, email and communications infrastructure providers, IT service providers and contracted service/implementation partners engaged to carry out the request. Where applicable, processors are appointed in accordance with Article 28 GDPR.

9. Retention Period

Personal data is retained for as long as necessary for the relevant purpose. Once a business enquiry has concluded, data is deleted or anonymised unless an ongoing contractual relationship, the preservation of legal claims or statutory retention obligations under tax/commercial law require continued storage. Retention of technical logs is limited according to security and technical-operational needs.

10. Your Rights

Subject to the conditions of the GDPR, you may have rights of access, rectification, erasure, restriction of processing, data portability, objection to certain processing and withdrawal of consent with effect for the future. You also have the right to lodge a complaint with the competent data-protection supervisory authority.

This policy reflects the website’s current functions. If new analytics, advertising, payment, reservation or other third-party services are added, the relevant data-protection information and cookie preferences must be updated before those services go live.
